Privacy Policy

ConnectedPE Pty Ltd · Effective 26 August 2026

1. Who we are

FieldDayHQ (www.fielddayhq.app) is operated by ConnectedPE Pty Ltd ("ConnectedPE", "we", "us"), an Australian company. We have been building apps for physical education teachers for over 15 years. This policy explains how we handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and it is written with our largely US school audience in mind.

2. What we collect

  • Teacher accounts — your name, email address, and password credentials (managed by Google Firebase Authentication; we never see your password).
  • Event data — event names, school names, dates, station details, and class or team labels you create (for example "Mrs. Kim — Grade K, 24 students").
  • Volunteer signups — a volunteer's name and email address when they claim a station on an event's public signup page.
  • Founding 30 purchases — name, email, school name, and any feature suggestions you submit.
  • Payments — processed entirely by Stripe. We receive confirmation of payment and the amount; we never receive or store card numbers.
  • Technical data — standard server logs (IP address, browser type, pages requested) generated by our hosting providers for security and reliability.

3. Student information

Most FieldDayHQ events involve no student information at all — classes are represented by teacher name and grade, and scores are recorded per class or team.

Teachers on paid plans may optionally turn on individual tracking to award places to students and print named ribbons and certificates. When they do:

  • The teacher chooses how much of a name is stored, and we store only that. The default is a first name and last initial ("Emma T."). Other options are first name only, initials only, numbers only, or a full name. We never keep a fuller version behind a shortened display — what you choose is literally what is saved.
  • That name, the class they are in, and their results are all we hold. No date of birth, no address, no contact details, no photographs.
  • We never collect medical, allergy, dietary, IEP, 504, or any other special-category information about a student. The product has no field for it and we ask that you do not enter it anywhere.
  • Students never sign in. There are no student accounts, passwords, or logins, and we collect nothing directly from a child.
  • Student names are not public by default. Volunteer station pages are served through our server so a shared station link cannot be used to list a school's roster, and student names appear on the projector leaderboard only if the organizer explicitly switches that on.
  • Names are deleted with the event. Deleting an event or your account removes every student record in it. Turning individual tracking off deletes the names immediately.
  • We never sell student information, use it for advertising, or use it to build a profile. It is used only to run the event it was entered for.

Under US federal rules, taking part in school sports and receiving honours or awards are the least sensitive category of student information ("directory information"). Because students never sign in and we hold no accounts for them, the service is not directed to children under 13 (COPPA). If your school or district needs a data privacy agreement before using FieldDayHQ, email us — we are glad to sign one.

4. How we use information

We use personal information to provide and improve the service: operating your events, showing live volunteer pages, processing purchases, granting plans, responding to support requests, and telling founders about the product they funded. We do not sell personal information, and we do not use it for third-party advertising.

5. Who we share it with

We share data only with the service providers needed to run FieldDayHQ:

  • Google Firebase / Google Cloud (authentication and database hosting, United States)
  • Vercel (application hosting, United States)
  • Stripe (payment processing)
  • Gleap (in-app support chat; receives your name, email, and plan when you are signed in so we can help you faster)
  • Google Analytics (aggregate usage measurement — which pages are visited and which features are used; we do not send it your name or email, and we have disabled personalised advertising signals)

Each provider processes data on our instructions under its own security and privacy commitments. Because these providers are located overseas (primarily the United States), your information is disclosed outside Australia; we take reasonable steps to ensure it is handled consistently with the APPs. We may also disclose information where required by law.

6. Security and retention

Data is encrypted in transit (HTTPS) and at rest by our cloud providers, and access is restricted by security rules and least-privilege credentials. We retain your data while your account is active. You can delete events (and their volunteer signups and scores) at any time in the product; to delete your account and associated data entirely, email us and we will action it within 30 days.

7. Your rights

You may request access to, or correction of, the personal information we hold about you by emailing jarrod@connectedpe.com. If you are in the EU/UK or a US state with a consumer privacy law (such as the CCPA), you may have additional rights — including deletion and portability — which we will honour on request. If you have a privacy complaint, contact us first; if you are unsatisfied with our response you may complain to the Office of the Australian Information Commissioner (oaic.gov.au).

8. Cookies

We use essential cookies and browser storage to keep you signed in and make the product work, plus the storage our support chat widget (Gleap) uses to keep your conversation thread.

We also use Google Analytics to understand how FieldDayHQ is used — which pages get visited, which features get used, and whether people finish setting up an event. This sets analytics cookies. We do not run advertising cookies, we do not send Google your name or email address, and personalised advertising signals are switched off. If your browser sends a Do Not Track signal, we skip analytics events entirely.

Volunteer station pages, the parent signup page, and the projector leaderboard are ordinary pages and are measured the same way — no personal information about volunteers, parents, or students is sent to any analytics service.

9. Changes

We will post any changes to this policy on this page and update the effective date. Material changes will be highlighted on the site or emailed to account holders.
