Terms & Conditions

1. Agreement

These terms are a contract between you and ConnectedPE Pty Ltd ("ConnectedPE", "we", "us"), an Australian company, for the use of FieldDayHQ (www.fielddayhq.app). By creating an account, making a purchase, or using the service you agree to these terms.

2. The service (and its pre-release status)

FieldDayHQ helps schools plan and run field day events: rotation scheduling, volunteer station pages, live timing, scoring, and printing. The product is currently in pre-release: features are still being built and may change, be added, or be removed before and after the full launch planned for the 2027 field day season. We will never remove core value from a plan you have already paid for without a remedy.

3. Accounts

You must provide accurate information and keep your credentials secure. Accounts are for adults (teachers, school staff, and event organisers) — the service is not for use by children. You are responsible for activity under your account.

4. Plans and payments

• Free — one event with limited size, no payment required.
• Event Pass / Event Pass Plus — one-time payments unlocking a single event's full features, as described at purchase.
• School Year — an annual subscription that renews automatically each year until cancelled. You can cancel any time and keep access until the end of the paid period.
• Founding 30 (lifetime) — a one-time payment giving one school lifetime access to everything in the product. "Lifetime" means for as long as ConnectedPE offers FieldDayHQ as a service. If we ever discontinue FieldDayHQ within three years of your purchase, we will refund founders a fair pro-rata amount. Founder spots are limited, numbered, and priced in bands; the price you pay is the price shown at your checkout and is locked regardless of later bands.

All prices are in US dollars and processed by Stripe. Applicable taxes may be added at checkout.

5. Refunds

If FieldDayHQ isn't right for you, email us within 30 days of any purchase for a full refund — no forms, no hard feelings. Nothing in these terms limits your non-excludable rights under the Australian Consumer Law or equivalent consumer protections where you live.

6. Your content

You own the content you put into FieldDayHQ (events, stations, class labels, instructions, and any student roster you add). You grant us the licence needed to store, process, and display that content to operate the service — including on the public volunteer, signup, and leaderboard pages you choose to share.

If you use individual student tracking, you confirm you are authorised by your school to enter that information, you will enter only the name format you have selected, and you will not enter medical, allergy, IEP, 504, or other special-category information about a student — the product neither needs nor supports it. Student records are deleted when you delete the event. See our Privacy Policy for exactly what is stored.

7. Acceptable use

Don't misuse the service: no unlawful content, no attempting to break, overload, or reverse-engineer the platform, no reselling access, and no using volunteer or signup pages to collect information for purposes unrelated to your event.

8. Our intellectual property

FieldDayHQ's software, design, brand, and the built-in station library remain the property of ConnectedPE. Your paid plan is a licence to use them within the product, not a transfer of ownership.

9. Availability and disclaimers

We work hard to keep FieldDayHQ fast and reliable — including on event day — but the service is provided "as is" and we cannot promise it will be uninterrupted or error-free. Weather, connectivity on a school field, and third-party outages are outside our control; the print pack exists precisely so your event can survive a dead phone battery.

10. Liability

To the extent permitted by law, ConnectedPE's total liability for any claim relating to the service is limited to the amount you paid us in the twelve months before the claim (or, where a statutory guarantee applies and cannot be excluded, to re-supplying the service or paying the cost of re-supply). Nothing in these terms excludes rights that cannot be excluded under the Australian Consumer Law.

11. Termination

You can stop using FieldDayHQ or delete your account at any time. We may suspend or terminate accounts that breach these terms; if we terminate a paid account without cause, we will refund the unused portion of what you paid (for founders, the pro-rata remedy in section 4 applies).

12. Governing law

These terms are governed by the laws of Victoria, Australia, and disputes are subject to the courts of Victoria — though we would much rather sort any problem out over email first: jarrod@connectedpe.com.

13. Changes to these terms

We may update these terms as the product evolves. Material changes will be notified on the site or by email, and continued use after a change means acceptance.
